Inrecruiting is an Applicant Tracking System ( ATS )/Recruiting software, a software for the internal management of the entire process of recruitment and selection of candidates.


Here you can find the basics of the software to start publishing vacancies and manage the process from today.

 

Manage your account settings


Clicking on System settings you can manage all your account settings of Inrecruiting, as:

  • Privacy (System settings > Privacy & Security > Privacy settings): 
    Here you will find what you need to be GDPR compliant. 

    It is essential to include the Data Controller, the Privacy polocies that candidates must accept, Data Retention and CV permanence in the database.

  • Default E-mail Sender (System settings > Email > General > Default email sender):
    you need to set the e-mail address to be used as the sender of communications that will be sent by the system to applicants. Check your company address or set your SMTP.
  • E-mail (System settings > E-mails): customize all messages that are automatically sent to candidates and Company users.
  • Fields structure (System setting > Process management > Application form > Candidate profile fields structure): 
    you can manage the structure fields of the candidate's profile and quickly create the candidate web form.
  • Application Forms (System setting > Process management > Application form > Candidate Form):
    you can independently manage the data to be asked from the candidate when registering for vacancies and choose which ones to make mandatory.
  • Hiring Pipeline and selection progress: (System setting > Process management > Vacancies > Hiring Pipeline/ Application status):
    in this section you define the possible progress states of candidates during the selection process. Each process is different, so create your own pipeline to get everything under control.


2 Add and publish your first vacancy

 

To immediately publish a new vacancy please follow these directions:

  • Add new (Vacancies > Add new vacancy): in the first section of a vacancy editor, you can enter the Title, the Company description (which you can set the default by clicking on System settings > General settings > Company profile), the Location and any other relevant information to the candidates.
  • Publishing: set the duration of the vacancy and where you want to post it (company websites, job boards, social networks).
  • Domain: insert the flag on domains, choose if you want to publish the vacancy on the integrated free portals (Multiposting > Yes), approve and publish the vacancy.
  • Notification: enable notifications to receive an email alert for every CV received and choose which Application status you want to use for this selection.

* to post on Linkedin Basic Jobs you must have entered the parameters in Systems Settings > External Systems > Third-party system configurations > Linkedin Configurations

* to publish to Google Jobs you must have entered the company website in System Settings > General Settings > Company Data > Basic Information and the dedicated logo in System Settings > External Systems > Third Party Systems Configurations > Google Configurations



3 Manage applications


  • Registered Candidates: (Vacancies > Vacancies List > Applicants Tab): view the registered candidates for a vacancy in the List and start the selection process. By clicking on the candidate's name you can access the information saved on their profile, view their CV, enter comments and much more.
  • Application statuses in the pipeline (Vacancies > Vacancies list): it is possible to keep track of the stage the candidate is in at each moment of the selection process: an Application status is associated with each candidate for each vacancy he/she has registered for. Application statuses are provided for each stage from application to recruitment. 

    Pro tip: Setting the HIRED status allows you to have up-to-date statistics and KPIs such as time to hire and time to fill!

  • Application Status Change Notifications (System Settings > Process Management > Vacancies > Hiring Pipelines > Notifications): you can set up automatic messages that will be sent automatically to the candidate after assigning him/her an Application Status. 

    Pro tip: set up the sending of feedback to the candidate for Disqualified statuses.


4 Embed Inrecruiting in your company's website

In the System settings area you can find the codes to integrate Inrecruiting in your company's website:
  • Speculative application form (System settings > Process management > Application form > Candidates form):  create your speculative registration form you want to publish online.
  • Integrate application form (System settings > Web Page Integration Options > General > Integrate application Form  into your website): follow the on-screen instructions to get the code to insert into your company website.
  • Integrate vacancies (System settings Web Page Integration Options > Vacancies)follow the on-screen instructions to get the code to insert vacancies into your company website.
  • Career web page (System settings > Company Careers Web Page Settings): if it is not possible to integrate Inrecruiting into your website, you can enable the Career web page, a customizable page to give visibility to job offers.

5 Add your colleagues

In the Side Menu you can find the Company users area that allows you to add new colleagues and manage all profiles:
  • Add colleagues (Company users > Add new): get access to the creation form of the profile of a new Company user and enter the information required for the creation of new user, making sure to complete the required fields. The software will automatically send an email to the user entered with its login credentials.
  • List (Company users > List): get access to the list to see which business users have access to the private area.

6 Search the candidates 


You can quickly search candidates present in your database, find out how:


  • Search candidates (Candidates > Search): from the Side Menu you can access the area dedicated to research of candidatesChoose whether to use the Fast Search or Advanced Search and enter the parameters you want to use for screening CV.
  • Resultsyou can see the profiles of candidates sought, with some leading indicators and you will have access to all profiles to display the details.
