With Inrecruiting you can import data on your candidates, vacancies, clients, company users, etc. via a CSV file. 

  

Thanks to this feature, you can migrate data from your old ATS (or other external systems) by simply uploading the relevant CSV files.

By accessing System Settings > Importer > New data import we will find all the possible types of imports that can be carried out on Inrecruiting


In each import box, at the top right, we will find a button that will allow you to download a CSV template to be filled in to carry out the import.



Information on filling out the CSV


NB: The format of the CSV file must meet the following requirements:

  • UTF8 format
  • It must not contain empty columns or rows
  • It must not contain cells with special characters
In addition to compliance with the format requirements, the accuracy of the data present in the CSV is the responsibility of the customer; any remediation of incorrect data entered in the CSV will be quoted separately.


If you use the template provided by Inrecruiting, you will find a column for each field in the fields structure or in the relative feature of the software.


If you use your own CSV instead, CSVs should be created by entering the column headings in the first line, which will become the drop-down options used to associate the CSV columns with the Inrecruiting fields and will therefore be automatically discarded during the import phase. 


The advice is to use the CSV templates available in the specific sections for each type of import.   


All CSV files must be saved in UTF-8 format.

 

Single/multiple selection

Single and/or multiple selection fields do not require that the drop-down option is already present in the system because if the importer does not find that particular option, it will automatically insert it for the particular field you are trying to import.  

In the case of multiple selections the values to be imported must all be entered in the same column separated by a comma.  

  


Now let's see how to import the data. 

  

By going to System Settings Importer you will see 2 items in the menu: New data import and List and status of data imported.

  

Clicking on New data import will open a screen with the various import sections, one for each type: 

  

 

At this point, you will need to assign a Name to the import you are doing (ES: "Import candidates 2019"), define the type of separator used in the CSV file that you want to load and finally attach the file correctly compiled. 

In the next screen, you will be able to map the data present in the attached CSV file and the respective Inrecruiting fields. 

  

Clicking on List and status of data imported will display a list with all imports made and the status in which they are located: 

  

 

The first column shows the name of the import, the second column shows the status of the import, the third column shows the type of import, the fourth column shows the number of rows (i.e. data) to be imported, the fifth column shows how many rows have been imported so far, and the last column shows the execution time. 

  

The states in which an import can be found are as follows: 

  • ASSOCIATION: The association of fields between the CSV and the Inrecruiting data has not yet been confirmed 

  • READY: The association of the fields between the CSV and the Inrecruiting data has been confirmed. The data are waiting to be entered into the system. 

  • IN PROGRESS: Data import is in progress 

  • PARTIAL IMPORT: The data has been partially importedSee the log in the "Download" section for more information 

  • IMPORTED: The data has all been successfully imported 

  • ERRORError during import, data was not imported. Contact support for more information
