To import Company Users into Inrecruiting you need to go to System Settings > Importer > New  > Fill in the fields in the Company Users Box by entering the name of the import, selecting the separator and uploading the CSV file with the data to be imported:


NB: The format of the CSV file must meet the following requirements:

  • UTF8 format
  • It must not contain empty columns or rows
  • It must not contain cells with special characters
In addition to compliance with the format requirements, the accuracy of the data present in the CSV is the responsibility of the customer; any remediation of incorrect data entered in the CSV will be quoted separately.




From the "CSV Template" section, you can download the template to fill in to import the data into Inrecruiting.


You must now click on the Import button. This will open a new window in which to map the fields:

In the first section you have the Configurations, which are used to determine the parameters to be used for mapping.


Teams Association*


In this section you determine the parameter to be used for the association between Company users and Teams: you can decide not to associate users with any Teams, whether to make single or multiple associations.


If you select single or multiple associations, the following other configurations will appear for you to fill in:


Teams association by*


In this selection, it will be possible to determine whether the Team search is to be done by the text name of the Team, by the external ID or by the internal ID in Inrecruiting.


Team not found action*


If you choose to search by team name and the team name is not found, you must determine whether or not to create a new team.


Default role*


This drop-down menu determines the default role to be assigned to imported company users.



In the second section of the table you will map the fields relating to the profile of the company users:

First Name*


In the name row, in the CSV column, you will select the column in which you have entered the names of the company users


The association of this field is mandatory in order to carry out the import.


Surname*

In the surname row, in the CSV column, you will select the column in which you have entered the surnames of the company users


The association of this field is mandatory in order to carry out the import.


E-mail*


In the email row, in the CSV column, you will select the column in which you have entered the email addresses of the company users.


The association of this field is mandatory in order to carry out the import.


External ID


The external ID, in case you are importing data from another ATS, is the ID associated with the external user from the previous system and will be used in subsequent imports to associate the data.


If you are not migrating data from another ATS, this ID will only be used to associate company users with other imports.


Phone Number


In the phone row, in the CSV column, select the column in which the phone numbers of the company users have been entered.


Team(s)


In the CSV column of the team row, select the column in which the team(s) to which the company users are to be assigned have been entered, based on the parameter defined under "Teams association by".


In the case of multiple teams, these must be entered in the CSV file in the same row of the column separated by a comma.



After mapping the fields, by clicking on the Save and Import button, you will find our import in Importer > List and status of data imported, where you can see the progress of the import
