Inactive Candidates Data Retention Policy

With Inrecruiting it's possible to automate the update/deletion operations of the candidates registered in Database from Privacy settings > section 6. Candidates Data Retention Policy:

It is also possible to set a specific retention time (Data retention) for Inactive candidates, i.e. candidates who have never set an access password from the activation link received after their first application.

To do this you need to click on Settings > Privacy and Security > Privacy > Setting the persistence of inactive candidates in the database:


First of all, it is necessary to define whether to apply the configurations only to 'Manually added candidates' or to 'All inactive candidates'.

Next, it will be possible to define whether to apply the configurations only to candidates who, despite being inactive, have had interactions from company users.

Note: The default setting will be "Delete only candidates without interactions > YES"

Below is the list of interactions that exclude candidates from deletion logic:


  • The candidate is (or has been) registered to at least one vacancy and has been assigned a "Vacancy status" by a company user;
  • The candidate has at least one interview note entered by a company user;
  • The candidate has at least one comment entered by a company user;
  • The candidate has been assigned a "Candidate Status" by a company user;
  • The candidate has been added by a company user to a "Candidate List" associated with a "Job Order";
  • The candidate has been invited to an appointment by a company user.


Finally, it is necessary to set the maximum retention period for inactive candidates in the database by specifying a number of days


and then define one of the following actions to be carried out at the end of the set period:


  • Delete alla data of the candidate with manual confirmation by the Company User in User Account Admin: the candidates will be included in a cancellation list (in Candidates > Manage account) from which the company user will have to proceed manually with the confirmation of this operation
  • Automatic cancellation (without confirmation by the Company User): candidates will be automatically deleted, without the operation having to be confirmed by the business user
  • keep Candidate's Data: candidates will be maintained in database
  • Send to candidate the update request of the profile/cv: an email will be sent to the candidates who will be asked to update their profile


By clicking on the "Customize E-mail" button it will also be possible to change the email that will be sent to candidates following the set action.


Furthermore, if you choose to Send to candidate the update request of the profile/cv, you can then select the action to take 15 days after sending the request:

  • Delete alla data of the candidate with manual confirmation by the Company User in User Account Admin: the candidates will be included in a cancellation list (in Candidates > Manage account) from which the company user will have to proceed manually with the confirmation of this operation
  • Automatic cancellation (without confirmation by the Company User): candidates will be automatically deleted, without the operation having to be confirmed by the business user
  • keep Candidate's Data: candidates will be maintained in database

Note: If this feature is enabled, a "Profile not activated" badge will be displayed next to candidates who have not activated their profile in all candidate lists.
