In Welcomin, team management allows you to precisely control what each user can view or modify within the platform. It is a very useful tool, especially in companies structured across multiple locations, departments, or brands, because it limits access to data only to those who truly need it.

This feature does not apply to a single area only, but can be used across several sections of the system: Contracts, People, Workflow, Company Users and, for those using the CRM module, also Clients.

In Welcomin, there are three team‑management modes designed to adapt to different operational needs.

  1. Disabled mode

This is the most open setting: there are no visibility restrictions based on teams, so users can view and modify everything without distinction.

  1. Partial team management

In this case, the user maintains complete visibility of the entire platform: they can view content from any team.
However, modifications are limited: the user can only edit items belonging to their own team.
This option is ideal for those who need to monitor overall activity while working only within their own area.

  1. Full team management

This is the most restrictive option: the user can see only what belongs to their own team and can modify only those same items.
Perfect for operational roles that do not need to consult activities outside their own department.

Team‑based permissions can be set on various sections of the platform, each with its own specific characteristics.

Contracts

Here the team is optional.
If a contract is left without a team, it remains visible to everyone, even if team‑based controls are active.

If it is associated with a team, it will follow the rules of the assigned permission level.

People

The visibility of people records depends entirely on teams and on the options selected for the user.
A user may therefore see all people or only those belonging to their own team.

Workflow

Workflows also follow the same rules: a user may view or modify them depending on the team‑based access mode configured.

Company Users

Teams can be very useful in complex environments: company users can be made visible only to those who belong to the same team, ensuring a more orderly and protected management.

Clients (CRM)

For those using the CRM module, clients can also be organized by teams. This is particularly useful when multiple branches manage separate client portfolios.

Team‑based permission management in Welcomin is a simple yet extremely effective way to control access to information. It allows the platform to be adapted to the needs of the company, ensuring security, organization, and greater clarity in daily operations.
