The Job Orders module is designed for Recruitment Agencies, which manage personnel search activities on behalf of their clients, and multi-group companies, which manage recruiting activities for corporate companies/brands.


The job order represents a macro-container of the selections of a Client, for Recruitment Agencies, or of a Company, for multi-group companies, within which it is possible to trace the informations of the selected candidates and the details of the economic and contractual conditions.


1. CREATE A JOB ORDER


You can add a new Job Order by clicking on Job Orders from the side menu and then on Add Job Order, choose which Client to assign it to and define the search details.



When creating the Order it is possible to track the following information:


  1. View: in this section it is possible to detail the conditions of the employment request. The fields with the "i" symbol will also be used to populate the corresponding information of the vacancies created directly within the job order.
    Furthermore, the "Request type", "Working hours" and "Work shifts" fields can be customized from Settings > Customizable fields > Job orders.

  2. Job Order management: in this section it is possible to track the internal contacts (company users) and the client (contacts of the client linked to the job order) who are in charge of the selection.
    The "External recruiters" field can be customized from Settings > Customizable fields > Job orders > External recruiters or directly by clicking on the "Add new" button to map a new external recruiter.

  3. Searched profile details: it's possible to track the requirements of the researced figure.
    The fields with the symbol "i" will also be used to populate the corresponding information of the vacancies created directly within the job order.

  4. Other information: this section allows to add internal notes visible only to recruiters who have access to the Job Order.

  5. Notifications: by entering one or more email addresses in this section it is possible to notify colleagues of the opening of a new job order or the editing of an existing one.

The tracked details can also be used as search parameters for orders created from Orders > Search Filters.



2. ASSOCIATE AN ADVERTISEMENT TO THE JOB


In order to manage the applications for a Job Order, it is possible to associate one or more vacancies to the Job Order: to do this, click on the "Add vacancy" button located at the top right in the detail of the job itself.



Alternatively, it is possible to link a vacacancy with a job order directly from Tab1 - Description of the vacancy, both when creating a new vacancy or editing an existing one:



It will be possible to view all the vacancies associated with a specific Job Order in the Vacancies Tab of the same Job Order.




3. ASSOCIATE A LIST OF CANDIDATES TO THE JOB


It is possible to link a list of candidates with a job order from the Tab. Lists of candidates > Create new list of  candidates:


In this tab are shown all the lists of candidates linked to the job order.


It is also possible to link a list with the job order directly when creating the list, by editing the "Job order" field:


Furthermore, when creating a new job order, the system will ask the user if he also wants to create a list of candidates associated with the job order:



4. MANAGE CANDIDATES


Inside the Job order "Candidates" Tab are shown all the candidates registered for one of the vacancies linked to the job oder or who have been manually added by a company user to a List of candidates linked to the job order.

Candidates coming from a vacancy will be marked with a "megaphone" symbol, while those coming from a list with a "folder" symbol.


In this section it is also possible to track the submitting of candidates to the Client/Company to whom the selection shortlist must be presented, by clicking on the Submit button:

By clicking Submit it will be possible to draw an internal note and attach a document.


NB: clicking Submit does not generate any email, but it only has a tracking function. For effective sharing of candidates you can use the Sharing with external users function.

The submitted candidates list will be shown in the "Candidate(s) sent" tab of the Job Order, where it will be possible to view the note inserted during submission and leave feedback on the sharing:

The submission will also be tracked in the profile of the client linked to the Job order > "Candidate(s) sent" tab, where the Job order from which it was submitted and the Feedback will be visible:

And in the candidate's profile > "Sent to" tab, where the Client to whom it was sent, the Job Order and any Feedback will be visible:



6. TRACK ACTIVITIES


The progress of the research can be tracked in the Request Status field in the Job order List.

This field can be customized from Settings > Customizable fields > Job orders > Request status.



The history of assigned Statuses is visible in the job order details > "Request Status History" tab.


In the details of the Job order there are also the Appointments, Messages and Interview Notes tabs where all the corresponding activities for which the Job was tracked during the creation of the appointment, message or interview note will be visible.

In the File tab it is possible to attach documents directly to the Job Order.


Finally, in the "Job order" Tab > "Proposals" section it's possible to track the hiring proposal sent to the selected candidate:


Once the offer has been confirmed it will be possible to track the outcome in the "Offer Outcome" section > select Yes in the Accepted and Signed field: it will then become possible to detail the contractualization in the "Agreement" section of the job Order Tab:

The progress in tracking these information can be monitored from the job order list > Offer and Contract columns, where there is a "traffic light" icon that will update based on the tracked informations:
